CONTROLLER/ACCOUNTANT
The Controller/ Accountant position is responsible for providing excellent service and support to Front Line Employees, Managers, Franchisees, Associates and fellow Team members in order to help make Ewing Moving Service the Industry’s first choice. This position, under general supervision and following established policies and procedures, will be responsible for ongoing maintenance and reconciliation of general ledger accounts, payables and receivables, and other routine accounting and clerical duties. Priority setting time management skill and ability to work under fast-paced environment are essential.
DUTIES AND RESPONSIBILITIES
- Prepare, record, and process account payable, account receivables, cash receipts, and cash disbursements.
- Prepare allocation tables for indirect expenses and revenue items as needed.
- Perform monthly bank reconciliations.
- Prepare payroll and deductions schedules.
- Assist in the posting of accounts to the General Ledger for:
Accounts Receivable
Cash Receipts
Accounts Payable
Cash Disbursements
Payroll
- Review open invoice reports; follow up with a schedule of payments or adjustments.
- Assist Director of Finance with the preparation of monthly and quarterly financial statements
- Assist Director of Finance with preparation for year-end financial audit.
- Maintain required records, reports, and files in an organized manner.
- Perform other related duties as directed
QUALIFICATIONS:
- Degree in accounting or equivalent education/experience.
- Minimum three years previous accounting experience.
- Demonstrated ability to communicate clearly and concisely with excellent organization skills
- Computer literacy is a must, proficient with Microsoft Office (i.e., Excel & Word). Experience with QuickBooks a plus.
Operations Manager
Assists the Vice President of Operations managing the day-to-day operations and administrative functions of the Operations Division; directs the logistics, transportation, distribution, and warehousing departments, and plans and prepares logistics schedules for the moving of local and long distance goods by performing the following duties personally or through subordinate supervisors.
DUTIES AND RESPONSIBILITIES
- On a daily basis examines the Move Book and analyzes logistics operational problems in move coordination, packing, loading and transportation, warehousing and, and quality control work units and formulates, devises and executes solutions and procedures to remedy operational problems
- Reviews move book for efficient use of materials, machines, and employees. Assigns drivers, trucks and crews
- Plans warehousing and logistics operations, establishing priorities and sequences for warehousing containers of household goods
- Schedules and manages employee schedules and prepares report for HR
- Prepares and draws up master schedule to establish sequence and lead time of each move to meet shipping dates according to sales forecasts or customer orders
- Reviews and monitors moving, loading, and packing activities to ensure quality and meet Ewing’s specifications
- Manages incoming and outgoing shipments, handling and disposition of inventory, and keeping of warehouse inventory
- Prepares logistics reports to the President defining problems, evaluations, and possible solutions
- Orders and maintains inventory of packing materials
- Maintain transportation fleet so that it meets federal, state and local regulations for safe operations(Tags, Insurance, safety program, maintenance, and driver compliance programs)
- Confers with Lead Men and Supervisors to determine status of assigned moves.
- Maintains facilities (Maintains equipment inventory, maintenance, and etc.)
- Holds regular staff meetings to convey and receive information from subordinates
QUALIFICATIONS
- Bachelor's degree (B. A.) in General Business or Operations Management or a related field from a four-year college or university or possess a minimum of 20 years of moving industry experience and/or training; or equivalent combination of education and experience.
- Skillful in the use of Microsoft Office with expertise in Microsoft Excel and/or other spreadsheet applications
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
- Ability to write reports, business correspondence, and procedure manuals.
- Ability to effectively present information and respond to questions from groups of employees, customers, suppliers, and the general public.
- Ability to work with mathematical concepts to figure tariff rates, estimates and contracts.
- Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables
Executive Accounts Representative
Plans, coordinates and schedule relocations for local, long distance and National Account clients. Maintains and distributes move packages to customers; maintains customer contact; maintains the quality of moving services to customers and take corrections action when necessary.
DUTIES AND RESPONSIBILITIES
- Book local and long distance moves for: Federal Express, Tennessee Valley Authority, and Regions and other corporate account.
- Review all contracts to understand the specific terms of each contract and develop a compliance checklist
- Serve as first point of contact for the customer by answering and receiving phone calls within two rings.
- Determine the needs of the customer by completing appropriate information on the lead.
- Determines date of move.
- Tentatively assigned date in the Move Book listing from and to of move, the type of move, number of men needed and type of truck; color code as appropriate.
- Type lead sheet and place in pending move file by date.
- Within two weeks of move confirm move with the customer; call and send out a confirmation letter.
- Provide contract details to Administrative Assistant to type contract.
- Send out customer sales package.
- Confirm move in the move book.
- Confers with Vice President of Operations to ascertain the availability of equipment and men; confirm the amount of packing material needed
- Compile logistics package (clipboard).
- Place move on the move board in movers/drivers meeting room.
- Develop, maintain and monitors tracking system of accounts.
- Rate Stevens’ COD shipments
- Input moves into the Stevens’ system
- Input Corrective Action Responses on Stevens’ system
- Prepare RFP’s
QUALIFICATIONS
- Bachelor of Science in business, public relations, or journalism from an accredited four year institution of higher learning; or four (4) to six (6) years of related experience and/or training or an equivalent combination of education and experience.
- Good telephone etiquette skills; good communication and listening skills
- Advanced computer skills in Microsoft Office products (Excel, Word, PowerPoint, Outlook, and Access).
- Excellent writing, proofreading and editing skills
- Strong orientation to customer service
- Experience in answering telephones and making appropriate decisions in routing telephone calls
- Ability to interact with operations and office staff in a friendly, positive and professional manner
- Ability to enter data into a computerized system and to perform retrieval functions
- Experience booking Department of Defense moves, preferred
Administrative Assistant
The Assistant plans, implements, and coordinates special projects, staff, and resources and prepares or supervises the preparation of management reports. Discretion, good judgment, organizational or management ability, initiative, and the ability to work independently are especially important for the administrative specialist positions.
DUTIES AND RESPONSIBILITIES
- Organize and print emails, daily calendar, and all correspondence requiring attention and/or response.
- Ensure response time to all inquiries is timely and accurate.
- Maintain and, as appropriate, execute/coordinate the President’s functions during his absences while keeping the President abreast of daily activities.
- Administrative support including filing, photocopying, and typing correspondence.
- Answering phone calls and communicating messages in a timely manner.
- Ability to run and manage personal errands/business, including but not limited to ordering and picking up lunches, coordinating personal travel including car services, flight reservations, etc
- Handle confidential and non-routine information applying extreme confidentiality and sensitivity in the dissemination of this information.
- Schedule and organize complex activities such as meetings, conference calls, and travel itineraries.
- Must have the flexibility to make last minute changes and communicate those changes in an organized manner.
QUALIFICATIONS
- 5+ years as an Administrative Assistant, supporting Corporate level executives
- MS Office proficient in Word, Excel, Outlook, and Word
- Bachelor’s degree
- Stable work history
- Experience scheduling private travel arrangements
- Willingness to accommodate spontaneous travel requirements
- Ability to prioritize multiple tasks under strict deadlines
- Outstanding verbal and written communication skills.
- High degree of integrity / confidentiality
- Outstanding organization, judgment and problem solving capabilities
- Ability to take control and manage tasks independently to closure.
- Ability to balance the personal assistance a partner may need and accomplish any related tasks while maintaining the specific job related duties.
- Moving industry experience preferred but not required.
- Marketing experience is a plus
